We want planning your event to feel just as easy as the party itself! Here's everything you need to know about booking, payment, travel, and what to expect on event day. If anything's unclear, just reach out — we're always happy to talk it through.
A $100 deposit locks in your date and time. This deposit is non-refundable, and your event isn't officially on our calendar until it's received and we've confirmed your booking.
The remaining balance is due on or before your event, unless we've made other arrangements ahead of time.
Schools, daycares, corporate partners, and nonprofit or community organizations can be invoiced according to the terms we agree on during booking.
We accept major credit cards and other approved electronic payment methods.
We ask for your final guest count at least 7 days before the event. Your package includes a set number of participants.
Need to add more guests? We'll do our best to accommodate based on supply and staffing availability, billed at your package's per-guest rate.
The earlier you can let us know about changes, the better — it helps us make sure we bring enough plushes, hearts, certificates, and take-home bags for everyone.
Reservation deposits are non-refundable.
Life happens — if you need to cancel more than 14 days before your event, we'll gladly transfer your deposit to one new date within the next 6 months, based on availability.
Cancellations within 14 days of the event will forfeit the deposit. Any custom, personalized, or special-order items already purchased or made for your event may also be non-refundable.
We offer one complimentary reschedule when you let us know at least 14 days before your original event date.
Your new date needs to fall within 6 months and is subject to availability. Additional reschedules may come with a small fee.
On the rare occasion something beyond our control keeps us from making it to your event, we'll work with you to reschedule or find a solution that feels fair.
This includes things like severe weather, unsafe travel conditions, power outages, government restrictions, equipment failure, illness, or other genuine emergencies.
Travel within 15 miles of Green Bay is always included, no extra charge.
Events further out may include a travel fee — but we'll always let you know the exact amount and get your okay before your booking is finalized.
We typically arrive 30–45 minutes before your event start time to get everything set up.
Bigger events, custom installations, or extra experience stations may need a little more setup time.
We just ask that the setup area be clean, dry, accessible, and ready for us when we arrive.
Our full setup fits comfortably in a space about the size of one parking spot.
We're happy to set up indoors or outdoors and can adjust our layout for smaller spaces when needed. The area should be level, clean, dry, accessible, and free of hazards.
We bring our own portable power source, so you typically won't need to provide an outlet.
We'll start right at the scheduled time whenever possible.
If guests or the host run late, we may still need to end at the originally scheduled time so we can make it to our next commitment.
Planning an outdoor event? We just ask that you have a backup plan in place.
If rain, high winds, extreme temperatures, storms, or other unsafe conditions are in the forecast, we'll work with you to move things indoors or find a new date.
A covered pavilion or tent can work depending on conditions, as long as it fully protects our equipment, plushes, paperwork, and everyone involved.
The safety of our guests, staff, and supplies always comes first.
We'll bring the magic, but we need a responsible adult present the whole time. Our team runs the experience, we're not there to supervise kids.
Parents, guardians, hosts, and event organizers stay responsible for guest behavior and supervision throughout.
We work hard to keep things fun, organized, and safe. We ask guests to follow the instructions our team gives during the event.
Parents, guardians, and hosts are best positioned to know whether certain activities, accessories, or small pieces are appropriate for each participant.
Stuffed With Love isn't responsible for injuries resulting from unsafe behavior, not following instructions, inadequate supervision, or conditions at the host's venue.
To help keep our stuffing machine, plushes, certificates, and supplies in good shape, we kindly ask that food and drinks stay away from our setup when possible.
Please let us know ahead of time about any venue restrictions, allergy concerns, or accommodations we should be aware of.
We're not able to take responsibility for lost, stolen, damaged, or unattended personal belongings during an event.
We do everything we can to bring the plush styles, clothing, and accessories you've requested.
Every so often, supplier delays, inventory changes, or discontinued products mean we need to substitute with a comparable option of equal or greater value.
Plush options depend on availability and can vary by package, season, event size, and what our suppliers have in stock.
Unless we've confirmed a specific plush selection with you in writing, we'll bring an assortment of available friends for guests to choose from.
We love helping bring your vision to life! Custom vinyl designs, themed items, personalized apparel, specialty plushes, branded accessories, and other special requests need at least 14 days' notice.
Larger custom orders, corporate branding, or specialty products may need extra production time.
We'll always do our best to make your custom request happen, but availability, design complexity, materials, and production timelines can sometimes limit what's possible.
If we ever need to decline or adjust a custom request, we'll communicate clearly and work with you to find something you'll love just as much.
Personalized, branded, or special-order items usually can't be reused for another event, so they may be non-refundable once we've started production or purchasing.
We love capturing the sweet moments from our events. With permission, photos or videos may be used on our website, social media, promotional materials, and business listings.
If you'd rather certain guests not be photographed, just let us know before the event — we'll always honor that.
For schools, corporate events, and organizations with their own media policies, we'll follow whatever photography guidelines you provide.
